How to Request Accurate, Professional Building Material Quotes: A Procurement Guide

Start with a complete specification

The single biggest cause of inaccurate quotes is an incomplete request. Grade, dimensions, quantity, brand preference, and delivery location all need to be in the first message — not clarified over three rounds of back-and-forth.

If you're unsure of a spec, say so explicitly and ask the supplier to recommend one. A supplier who has to guess will usually quote for the safest, most expensive option.

Ask for a like-for-like comparison

When you request quotes from multiple suppliers, keep the exact same specification across every request. Even small differences — a different steel grade or a slightly shorter delivery window — can make two quotes impossible to compare fairly.

Confirm what's included

A low headline price can hide delivery fees, loading charges, or a shorter payment term than you expected. Always ask suppliers to break down what's included before you compare numbers side by side.
